Tips for using time; 4 activity quadrants

 "Today must be better than yesterday, and tomorrow must be better than today."

Many people have prepared themselves to apply this good adage, but they often fail to implement it in their lives.

Sometimes we all feel that time flies so quickly. In fact, we feel less about the time we have, so there are many things we cannot finish that day. We feel how easy it is to lose our day, and in the end, the day goes down the drain without producing anything meaningful.

Sometimes, the time we have—24 hours a day, 7 days a week, or 12 months a year—is not enough to complete all the activities we have planned. Managing time becomes difficult between not being able to complete tasks and obligations, not being able to meet a predetermined target, having no time for family and friends, and not being able to enjoy "me time".

When someone feels a lack of time, they often feel chased by time, so they become in a hurry and lack focus on doing something. Even a person cannot relax and enjoy their own leisure time.

How do we solve it?

Among the many tips for making the most of your time is using the "4 Activity Quadrants Concept." This concept was introduced in 1989 by Stephen R. Covey in his book entitled 7 Habits of Highly effective People: Restoring The Character Ethic. The book is one of the best-selling books, if you know. Very lucky if you have it.

This concept is part of Habit 3 (Put First Things First) of the 7 Habits, which reviews how humans lead an effective life.

I totally agree with Mr. Covey that everyone who wants to use their time effectively must make a priority list for each of their activities.

Mr. Covey has categorized a person's activity based on importance into the following four types of quadrants:

Quadrant I: Most important and urgent

Activities belonging to quadrant I are activities that are very important and urgent. That means it is something that is very important to be done or completed. Both in terms of urgency or time for an activity.

If this highly prioritized activity is not carried out or completed immediately, it will bring new problems or hinder other activities in the future.

Are you not going to prepare yourself for a presentation tomorrow for an important work of yours?

Quadrant II: Important but not urgent

Activities belonging to quadrant II are activities that are very important but not urgent. That means something that is a priority but doesn't have to be done right away. Important in terms of urgency, but not urgent in terms of time to do it. Generally medium-term or long-term, but it becomes a requirement that must be met.

If today you have graduated from a university in England, of course you will improve your English skills before going there.

Quadrant III: Not important and urgent

Activities belonging to quadrant III are those that are not important but urgent. That means something that is not a priority to do or get done is something you have to do. You have to do it, but you can put it off for a while.

If you are preparing for an important presentation project and a notification appears from your social media account on your device, of course you will refrain from checking or responding immediately; you don't have to do it right away, right?

Quadrant IV: Not important and not urgent

Activities belonging to quadrant VI are activities that are not important and not urgent. That means something that is neither important nor urgent to be done or resolved. You need to do it, but you can delay it. Someone certainly has to finish something important first, then do other things that are considered unimportant and not urgent.

Of course you will do a relaxing activity, for example, doing your hobby or going on vacation, but you will do it when you really have free time to do it. Someone needs "me time" or self-reward, but of course, do it when it's not urgent.
